FAQ – Clubhouse Reservation Process

Our clubhouse is here for all of us to, enjoy. Thank you for helping to keep the area clean, pleasant and in good repair.

Use of the clubhouse is by reservation only, on a first come, first served basis.  Each townhome will be given one reservation per month.  Additional dates may be reserved, however, a townhome’s second and subsequent reserved dates may be canceled if another townhome requests the same date and time.  To reserve the clubhouse please follow the below instructions:

  1. Complete the Clubhouse Reservation Form.
  2. Complete a check for the refundable security deposit.  “The Promenade Villas” should be the payee for the check.
  3. Mail the form and the deposit to the address listed on the Clubhouse Reservation form as far in advance as possible, but in no case later than seven days in advance to ensure ample time to complete the process.  Remember, clubhouse reservations are on a first come, first served basis, so the earlier the reservations are made, the more likely the reservation date will be available.  If the date and time requested are not available, the requesting resident will be notified so that an alternate date may be selected.
  4. The resident requesting the reservation will be contacted for a date and time to complete the pre-inspection of the clubhouse.  During the pre-inspection, any damage or problems present will be noted on the Clubhouse Inspection form.
  5. The resident will receive the clubhouse key with the day before or the day of the reserved date.
  6. The clubhouse must be cleaned and restored to good condition after use.  This includes emptying of trash containers into the outside garbage bins.
  7. Personal articles should be removed when leaving the clubhouse.  The Promenade Villas Recreation and Management Association will not be responsible for lost or damaged items.
  8. The clubhouse key must be returned the day of or the day after the reserved date. A post-inspection will be arranged as soon as possible.
  9. During the post-inspection, any new damage or problems present will be noted on a Clubhouse Inspection form.  Cleaning and repairs that must be effected by the Association will be charged to the responsible resident(s).
  10. The deposit will be returned to you upon satisfactory post-inspection results (any conflicts regarding the inspections will be resolved by the Board).
  11. The clubhouse may not be reserved for any commercial purpose, business presentation, soliciting, or any other for-profit activity without the consent of the Board.

Questions regarding clubhouse reservations should be directed to the Board or the Pool/Clubhouse Committee chairperson.

NOTICE: An individual making a reservation shall be responsible for rules compliance by any and all persons using the clubhouse during the time of the reservation. Rules violations will result in action by the Disciplinary Committee.

Use of the pool and other recreational facilities by a homeowner may be restricted by the Board for non-payment of assessments (i.e.: monthly dues, etc.)
